Asset Missing Automation

Description

Asset Missing Automation triggers when an asset is not detected in the location (campus) for a specified duration. This automation helps identify:

• Stolen or misplaced equipment

• Assets moved outside tracking area

• Equipment failures (BLE tag battery dead, etc.)

How It Works:

1. Background Process: System checks asset presence periodically (every 5-10 minutes)

2. Time Check: If asset hasn't been detected for longer than configured duration, it's marked as missing

3. Alert Trigger: System triggers "Asset Missing" event

4. Automation Actions: Configured actions are executed (SMS, email, webhook, etc.)

Filtering Options:

• Segment Filter: Only monitor assets with specific tags (e.g., "Critical Equipment")

• Custom Condition: Filter by MAC address or asset name

When to Use

• Customer wants alerts when equipment goes missing

• Hospital needs to track critical medical equipment

• Facility wants to monitor high-value assets

• Organization needs inventory control automation

Dependencies & Requirements

• Asset Presence Aggregation: Must be enabled and scheduled (see Asset Presence Aggregation section)

• Location Tracking Engine: External location engine must be providing BLE data

• Active Asset Tracking: Assets must have active BLE tags and be tracked

• Workflow System: Automation must be configured in Workflow builder

Configuration Steps

Step 1: Enable Asset Presence Aggregation

1. Navigate to Settings > Aggregation

2. Find aggregation: "Check Asset Presence" or "Asset Tracking Repository"

3. Enable the aggregation

4. Configure schedule:

   • Frequency: Set to run every 5-10 minutes (recommended)

   • Parameters:

     • Segment: Select tag/segment to monitor (e.g., "Equipment")

     • Min. Duration: Enter minutes without detection (e.g., 30 minutes)

5. Save the aggregation configuration

Step 2: Create Asset Missing Automation

1. Navigate to Workflow > Automations

2. Click "Create New Automation"

3. Configure Trigger:

   • Select trigger: "Asset Missing"

4. Configure Conditions:

   • Segment: Select tag/segment to monitor (e.g., "Critical Equipment")

     • Only assets with this tag will be monitored

   • Duration: Enter minimum minutes without detection (e.g., 30 minutes)

     • Asset must be missing for this duration before alert triggers

   • Custom Condition (optional):

     • Filter by MAC address: Enter specific MAC address

     • Filter by name: Enter asset name pattern

5. Add Actions:

   • Send Email:

     • Enter recipient email addresses

     • Customize email message

   • Send SMS:

     • Enter phone numbers

     • Customize SMS message

   • Webhook:

     • Enter webhook URL

     • Configure payload (include asset name, location, etc.)

   • Create Ticket:

     • Integrate with external ticketing system

6. Save the automation

Troubleshooting

Issue: Missing alerts not triggering

• Check: Asset Presence Aggregation is enabled and scheduled

• Check: Aggregation is running (check logs or last run time)

• Check: Asset has the correct segment tag

• Check: Duration threshold is appropriate (not too short)

• Check: Asset actually stopped broadcasting (check BLE tag battery)

Issue: Too many false alerts

• Check: Increase duration threshold (e.g., from 15 to 30 minutes)

• Check: Verify BLE infrastructure is working properly

• Check: Ensure location engine is providing consistent data

Issue: Alerts not reaching recipients

• Check: Email/SMS actions are configured correctly

• Check: Recipient addresses/numbers are correct

• Check: Email/SMS service is working

• Check: Webhook URL is accessible
